Executive Assistant

The CC Lab is hiring an Executive Assistant!

Job Description:

Our growing team seeks a skilled and motivated person to join us in New Haven, as a shared Executive Assistant supporting our senior executives. This position is an opportunity for a highly organized individual with strong people and administrative skills, who is interested in working closely with the Lab’s Executive Director, Senior Managing Director, and one or two additional Managing Directors.

The ideal candidate will have executive assistant expertise and/or office administrative experience related to helping executives or helping to oversee fast-paced small company environments. We are looking for someone who enjoys contributing toward an organization with ambitious goals, is highly detail-oriented, and excels at handling many tasks at once while staying very organized.

Responsibilities Include:

The Executive Assistant will be a key member of the CC Lab team, acting as a shared assistant to the Executive Director and Senior Managing Director, as well as to one or two additional Managing Directors occasionally.

Duties and responsibilities of this position include:

1.     Executive Assistance (60%)

  • Help manage senior executives’ calendars, scheduling internal and external meetings, drafting agendas, tracking follow ups, and ensuring notes are taken and filed

  • Proofread documents and presentations, correct formatting, finalize onto company design templates, and share with required parties

  • Oversee signing of documents, sharing signed documents with required parties, and filing for records

  • Keep various records up to date in online databases and digital file storage

  • Attending and sharing Agenda’s, notes, and action items with the leadership team before and after weekly meetings.

  • Coordinate travel arrangements including flights, hotels, car travel, and other logistics for several trips throughout the year (and participate in travel as needed and able)

  • Work with contracted IT company to help resolve any executive IT issues

2.     Event Support (20%)

  • Help oversee logistics of board meetings, fundraising events, and team retreats from planning to execution (and participate in events day-of as needed and able)

  • Research and book event venues, aid in organizing internal event planning, oversee RSVP lists, order food catering, and other coordination with attendees

3.     Office Administration / HR (20%)

  • Maintain stock of office supplies, kitchen supplies, and office snacks

  • Work with contracted IT company to help resolve any office A/V and printer issues

  • Support hiring processes, help schedule recruiting interviews, and track candidate status

Desired Qualifications:

  • Personable, helpful, and considerate

  • Relevant work experience

  • Strong organizational skills and highly-detail oriented

  • Experience working with senior executives and confidential information

  • Proactive, resourceful, with the ability to learn and work in a fast-paced environment

  • Exceptional verbal and written communication skills, ability to edit and proof-read

  • Experience with both PC and Mac computer environments (required)

  • Experience and with Google Suite, Microsoft Suite, Adobe PDF (required)

  • Experience with Slack, Airtable, AI Chat tools (preferred)

  • Positive attitude and problem-solving outlook

Salary and Benefits:

The Carbon Containment Lab offers a competitive salary and benefits package, including:

  • Salary of $60,000-$80,000 per year depending on experience (if full-time)

  • Medical, Disability, and Life insurance (if full-time)

  • Retirement Savings Plan including 4% employer match

  • 16 days paid time off (if full-time), increases to 20 after two years

  • 10 paid holidays

The Carbon Containment Lab is a public charity advancing research and education for a public benefit. We apply scientific, entrepreneurial, and investment expertise to develop and support emergent climate solutions. 

We approach the race against climate change as both a sprint and a marathon. Our sprint involves immediate work on the mitigation of short-lived superpollutants, and our marathon focuses on building the long-term capacity for the removal and storage of carbon dioxide. In both cases, we focus on areas where we can move great ideas into scaled implementation.
